1. About Us & How We Work
PCP ClaimGrid is a trading style of ClaimGrid Ltd, a company registered in England and Wales under Company No. 16860865 | ICO Number ZC180956. We operate as an independent online claims checking and advisory platform.
Please note that we are not a law firm, solicitors, or regulated Claims Management Company (CMC). Our sole role is as an **introducer**. We provide Agreement Check technology that connects qualified UK motorists with authorised, regulated CMCs or law firms (regulated by the Financial Conduct Authority (FCA) or the Solicitors Regulation Authority (SRA)) to pursue mis-sold PCP or HP finance claims.
2. How We Protect Your Information
We take information security extremely seriously. We process data under strict data privacy protocols and implement industry-standard 256-bit SSL encryption to secure details in transit.
Strict Privacy Commitment: We do not sell, rent, or lease your personal information to third-party marketing companies. Any information you submit through our checker is processed for the sole purpose of assessing your agreement details and routing your potential claim. Information is **only passed on** to our partner CMCs or regulated law firms with **your explicit, consent-based confirmation** when submitting the form in Step 3.
3. Personal Information We Collect
To run our agreement checks, we collect the following details:
- Contact details (Full name, email address, phone number)
- Date of Birth (to confirm claimants are 18 or older)
- Address history (current postcode, current address, and previous address history if applicable)
- Information regarding your historical vehicle finance agreements
- A digital signature (represented as a PNG image) to execute the Letter of Authority (LOA)
- IP Address and timestamp of your submission for fraud prevention and consent logging
4. Legal Basis for Processing
We process your personal data under the following legal bases:
- Consent: When you provide your details and sign the digital authorisation (LOA), you give us explicit consent to process your information and introduce you to our legal panel.
- Legitimate Interests: To verify compliance, audit logs, and improve our services.
5. Data Retention
Under the UK GDPR’s Storage Limitation principle, we retain your personal data only for as long as is necessary to fulfill the purposes for which it was collected, as outlined in this Privacy Policy:
- Inquiry & Check Data: If you perform an Agreement Check but do not proceed to a formal introduction, your contact and check details are retained for up to 2 years to address any follow up queries or system audits.
- Introductions & Audit Logs: If you proceed with a claim introduction, we retain a record of the transaction, consent log, and digital signature details for a period of up to 6 years. This is in accordance with the UK Limitation Act 1980, which defines the statutory limitation period for contract claims, ensuring we can defend or pursue legal claims and verify our regulatory compliance.
- Data Deletion: After these retention periods elapse, or if you request erasure under your GDPR rights (provided no overriding legal or regulatory obligations apply), your data is securely and permanently deleted or anonymised.
6. How We Contact You (Communication Preferences)
In accordance with UK GDPR and the Privacy and Electronic Communications Regulations (PECR), we are transparent about the methods by which you may be contacted by us or our partners:
- Contact Methods: When submitting your details through our Agreement Check, you acknowledge and agree that you may be contacted via Telephone, Email, and SMS (text message).
- Partner CMC & Solicitor Communications: Specifically, to progress your potential finance claim, you may be contacted by our partner Claims Management Companies (CMCs) and regulated solicitor firms. These partners will contact you via Telephone and Email to discuss details of your vehicle finance agreements, request further instructions, and manage your claim.
- SMS Notifications: We or our partner companies may also send you SMS updates for transactional notifications, status alerts, or urgent reminders regarding your check.
- Right to Object & Withdraw Consent: You maintain full control over your communication preferences. You have the right to opt out or withdraw your consent to any of these contact methods at any time. You can do this by using the opt-out/unsubscribe link in emails or SMS, instructing the caller during a telephone call, or contacting us at claims@claimgrid.co.uk.
7. Your Rights
Under the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018, you have rights including:
- The right to access the personal data we hold about you.
- The right to request the correction or erasure of your personal data.
- The right to withdraw your consent to data sharing at any time (which will halt the claim referral process).
- The right to lodge a complaint with the Information Commissioner's Office (ICO).
8. Cookies, Analytics & Third-Party Services
Our website uses a cookie consent banner to store your analytics preference in a strictly necessary cookie named claimgrid_clarity_consent. This stores only whether analytics cookies were accepted or rejected.
If you accept analytics cookies, we use Microsoft Clarity on the production website to understand page usage, clicks, scrolling, and technical browser information. If you reject non-essential cookies, Microsoft Clarity is not loaded and known Clarity cookies are cleared where the browser allows it. Claim forms, address fields, signature areas, and confirmation messages are masked so names, emails, phone numbers, addresses, claim details, and submitted lead information are not sent to Clarity. You could change your cookie preference at any time using the Cookie preferences link in the footer.
The site also uses third-party services that help operate the website and checker, including Google Fonts for typography, unpkg CDN for the PDF signing library, and Ideal Postcodes for address lookup. These providers may receive technical request data such as your IP address, browser details, and requested URL when your browser connects to them.
When you submit the Agreement Check, we collect your IP address and timestamp for fraud prevention, consent logging, and audit purposes. We may also store your submitted lead data and signed PDF on our secure server and send it to our claims mailbox for processing.
